DOCUMENT PREPARATION ·
Prepare your document before requesting a signature
A practical checklist for creating or uploading your document, reviewing the signing PDF, sending it to one recipient, and keeping your completed records.
A clear document makes the next step easier for everyone. Before you request a signature, check the wording, the recipient details, and the PDF your recipient will review.
1. Start with the complete wording
Give the document a recognizable title. Check names, dates, amounts, the work being agreed to, and any attachments you intend to include. Resolve placeholders and conflicting versions before sending.
In SignFinish, you can write or paste your wording to create a document, or upload an existing PDF, JPG, or PNG. If you use a company text template, review the details for this specific request.
2. Check the file before uploading
Uploads can be up to 5 MB, and PDFs can contain up to 30 pages. Use a flattened, unencrypted PDF without existing digital signatures or interactive form fields. Open the file first and check that every page is readable, correctly oriented, and in the right order.
SignFinish preserves the original document and adds pages for signatures and details. Review how the complete signing PDF looks before you share it.
3. Confirm the recipient and required details
One request is for one document sent to one recipient. Check the recipient's name and email address carefully, and add the details they need to complete. Add your own signature when needed and review the document before confirming it is ready.
The recipient uses an email verification code to access the signing flow. They do not need to create a SignFinish account, so use an email address they can access themselves.
4. Review the signing PDF, then send
Read the complete signing PDF, including the added pages. Check the text, recipient details, and requested fields. Once the document is prepared, it is frozen for signing; take time to review before confirming.
Send an email invitation or copy the private signing link. Share that link only with the intended recipient. They can review the document and signing consent before choosing whether to sign.
5. Keep the completed PDF and history
After signing is complete, download the completed PDF and the separate evidence JSON record. The document view also shows the signing history. Store your copies with the related business records so you can find the document and its sequence of events later.
Before you send: a short checklist
- The title, names, dates, amounts, and wording are complete.
- The uploaded file meets the limits and all pages are readable.
- The recipient email address and requested details are correct.
- You have reviewed the complete signing PDF.
- You know where you will keep the completed PDF and signing record.
Choose a signing process that fits your document. Check the terms and permitted uses and the signing guide before starting.
